Job Title: Office Administrator (full-time)

Location: Our Toronto office (located in the east-end), with some travel to our various program locations in Ontario. You will also be expected to work from up north (typically Algonquin Park) during our Fall season (September – October).

Start: July 2025

Starting Salary Range: $48,000 – $ 55,000

Job Outline: 

When ALIVE was first started, we had no idea how much administration would be involved in running our programs. We were naïvely thinking we would be spending all of our time paddling, playing outside and savouring the joy of teaching outdoors. Little did we know that a large part of our job is ensuring we have all of the pertinent information needed to take excellent care of our clients. This is where you come into play.

The main function of this role is to help heighten the efficiency of the ALIVE Outdoors office. You will coordinate with the Director Team to develop and maintain all program requirements. Although we are an educational outdoor company, it is important to be clear that this is ultimately an office job.  We don’t want to mislead anyone into thinking you will be dipping your paddle and sleeping under the stars!! Simply put—you will be behind a screen, at a desk! The majority of your time will be associated with paperwork (summarizing student and instructor dietary for each trip, helping with instructor recruiting, managing our internal systems and databases, creating and sending contracts, invoicing, booking tripping permits, answering emails from parents and clients, helping create materials for social media, etc.) We place great emphasis on maintaining strong, authentic personal connections with our clients and our instructor community. We see this role as an integral part of our ongoing success.

Education, Qualifications & Requirements:

  • Post-secondary education
  • Fluent in English
  • Canadian citizen or Permanent Resident
  • Standard First Aid & CPR
  • High level of computer competency
  • This is NOT a remote position. Most days are spent in our Toronto office (east end), so living in the GTA will be important.

Summary of Job Responsibilities:

  • Manage our internal systems, databases, documents, and paperwork. 
  • Perform administrative tasks for the instructor team.
  • Help with the instructor hiring process: Schedule interviews, manage our instructor database, update relevant instructor information, create instructor contracts, keep our instructor portal up to date, manage instructor payroll, and communicate with instructors throughout the year.
  • Summarize all medical and dietary information and convey it to our host sites.
  • Keep the ALIVE Outdoors website current and support social media initiatives.
  • Organize and post photo albums for each program.
  • Create and manage all program paperwork for clients.
  • Help create program resources and marketing materials.
  • Print and organize program resources.
  • Assist with bookings and schedules for canoe trip, camp, national, and global programs.
  • Manage the inventory, sales, and shipping of our online store products.
  • Help organize, sort gear, and deal with inventory and packing for programs.

Realities of Working with ALIVE:

  • City office time typically runs 5 days a week from 9 AM to 5 PM.
  • Weekly time commitments vary according to the season. When on program, days may be longer.
  • Some statutory holidays and weekends will need to be worked.
  • During our Fall season (September – October), you will be expected to live and work up north (typically in Algonquin Park).
  • This is meaningful work. The days can be long at times, but they are rewarding. Many laughs are had, and magical moments are created. One of the many beautiful aspects of this job is that you will meet endless incredible people!
